Workflow Helps Save Environment and Business.
march, 2002

Last week, while driving home from work I tuned into public radio and listened to a Garbologist (yes a real profession) explain how paper makes up 50 percent of the garbage in American landfills. He stated that the computer revolution has only exacerbated the problem by turning every house into a printing press. Worse yet, paper takes an enormous amount of time to biodegrade – over 50 years depending on landfill conditions.

Workflow and related technologies like Imaging and COLD/ERM help solve this crisis by significantly reducing an organization’s dependency on paper. It accomplishes this by:
- Replacing paper based forms with electronic forms.
- Using electronic signatures to reduce need to print for conventional signature.
- Managing reports electronically, eliminating need to print.
- Providing shared access to documents minimizing need for copy machine.

Other benefits include:
- Zero transition time between steps in a process thus increasing productivity.
- Processes are automated and users are held accountable via audit tracking, preventing Enron like
companies from shredding evidence.
- Instant access to information without leaving desk.
- Reduction in shipping costs, paper / toner consumables, fiche / film development, and printer
maintenance.
- Facilitates offsite storage and disaster recovery to protect against business interruption.

So if implementing Workflow helps save the environment, improves productivity / accountability, protects against business interruption, and provides quick return on investment why haven’t more companies implemented the technology? This is most likely due to lack of awareness. Since the technology has matured and gone mainstream this is bound to change. Many organizations that have received such compelling benefits are eager to share their experience with others.

What is the biggest challenge to implementing Workflow? Changing people’s habits and attitudes towards working with only the computer and not paper. The best way to overcome these challenges is to learn from others who have automated similar processes. Encourage both management and end users to participate in plenty of onsite walk thru’s / phone references to learn from their peers. By actively engaging key team members in the decision making process will help ensure overall success.

Implementing an integrated document management solution with Workflow is one of the most important decisions an organization can make. With this in mind, it is essential to invest in technology that is:
- Flexible to meet your needs, not compromise them.
- Easy to use.
- Simple to create and maintain custom Workflows.
- Developed by a company that provides excellent support and has terrific customer references.

Next month’s educational seminar held on March 20 will be a good opportunity to learn more about this exciting technology. You will learn first hand from other local companies who have invested and implemented automated Workflow. Be sure to bring your questions for round table discussion that follows.
